Mail your letter to the dealership's street address, addressed to the department that can act on it: service for a repair dispute, sales management for a purchase problem, and the general manager or dealer principal for anything unresolved. Include the vehicle year, make, model, and VIN, plus purchase or service dates and any repair order numbers.
Dealerships are several businesses under one roof, and a letter to the wrong desk can sit for weeks. Service departments handle repair quality, warranty work, and service billing. Sales management handles purchase terms, trade-in disputes, and delivery problems. The business office handles financing paperwork. The general manager or dealer principal handles complaints that a department has already failed to resolve. Addressing the letter to a named department, and adding "Attention: Service Manager" where you know the title, is the single fastest way to get a useful reply.
If your problem involves the manufacturer, such as a warranty claim the dealer says the factory denied, a letter to the dealer alone may not be enough. In that case, write to the dealer first, keep the reply, and then write to the manufacturer with copies of both letters. Manufacturers take dealer complaints more seriously when the dealer has already had a chance to fix the problem in writing.
Vehicle letters live or die on identifiers. Include the year, make, model, and full VIN, the purchase date or lease start date, and the mileage at the time of the problem if you know it. For service disputes, quote the repair order number, the date of each visit, and what you were told at each visit. For purchase disputes, quote the agreement date, the salesperson's name if you remember it, and the specific term you dispute, such as a fee that was not explained or a trade-in value that changed.
State the outcome you want in plain terms: a re-repair, a refund of a specific charge, a corrected document, or a meeting with the general manager. Dealers respond to a letter that asks for one clear thing. A letter that lists every grievance from the past three years, with no clear ask, usually gets a generic reply and no action.
| Problem | Address it to | Include |
|---|---|---|
| Repair not fixed | Service manager | Repair order numbers, visit dates, VIN |
| Warranty denied | Service manager, then manufacturer | Denial reason, warranty terms cited |
| Purchase or fee dispute | Sales manager | Agreement date, fee in question |
| Financing paperwork error | Business office | Account details, document in question |
| Unresolved complaint | General manager or dealer principal | Copies of earlier letters and replies |
Car disputes often turn on what was said, when, and by whom. A dated letter creates a record that a phone call does not. If you later need to involve a consumer protection office, a manufacturer arbitration program, or a lawyer, a file of letters with dates and replies is far stronger than a memory of phone calls. Keep a copy of everything you send and everything you receive, and note the date you mailed each letter.
For a dispute where money or safety is at stake, use a service that gives proof of delivery, such as certified mail in the United States or registered mail in Canada. That proof matters if the dealer later claims the letter never arrived. It also signals, politely, that you are keeping a serious record, which tends to sharpen replies.
Yes, for dealerships with US or Canadian addresses. Describe the letter to your AI assistant, approve the exact quoted price, and it is printed and mailed in a standard double-window envelope. Letters are single-sided with no inserts, so quote repair order numbers and dates inside the letter itself rather than enclosing service records. For a formal dispute, ask about the certified or registered option.
