How do I mail a letter to request a refund?

Mail a refund request letter to the company's customer service or correspondence address, stating the order number, purchase date, amount paid, and the reason for the refund in the first paragraph. Ask for a specific outcome and a reply by a stated date, and send it by a method that gives you proof of delivery.

Where do I send it?

Use the correspondence address the company publishes for written complaints, usually on its website under "Contact us," in the terms of service, or on the back of a bill. A store address or a headquarters address may not reach the refunds team, and a letter sent to the wrong department can sit for weeks before it is forwarded. For banks, card issuers, and insurers, the billing-disputes or claims address is often a PO box: use it exactly as published. If the company lists both an email and a mailing address, mail still has value for a refund dispute, because a paper letter with proof of delivery creates a record that an email thread can lose.

How should the letter be structured?

Open with the ask: "I am writing to request a refund for order number X, placed on [date], for [amount]." Then give the facts in order: what you bought, what went wrong, and what you already tried, like calls or emails, with dates. Keep the tone firm and factual, and skip insults: a calm letter gets routed to a decision-maker, while an abusive one can be set aside. State the outcome you want in plain words: a full refund to the original payment method, a partial refund, or a replacement. End with a reply date, typically two to three weeks out, and a line saying you will escalate the matter if you hear nothing, naming the next step you actually plan to take, like a card dispute or a regulator complaint.

What should I attach, and what should I keep?

Attach copies, never originals, of the receipt, order confirmation, photos of a faulty item, and any prior correspondence. Number the attachments and mention them in the letter ("see attached receipt, dated..."), so nothing gets lost in the mail room. Keep a full copy of the letter and every attachment, plus the proof of delivery, in one folder. If the dispute later goes to a card issuer or a regulator, that folder is your case: companies respond faster when the customer can show a dated paper trail.

Should I use certified or registered mail?

Yes, for a refund letter, proof of delivery is worth it. In the US, certified mail gives you a mailing receipt and a delivery record; in Canada, registered mail does the same. The proof matters twice: first, it stops the company from claiming it never got your letter, and second, it starts the clock on your stated reply deadline from a provable date. Ordinary mail is fine for a small, low-stakes refund, but for anything you might escalate, the delivery record pays for itself. Note the tracking number on your copy of the letter.

What if the company refuses or ignores me?

Wait until your stated reply date passes, then send one short follow-up referencing the first letter and its delivery date. If that fails, the next step depends on how you paid: a credit card purchase can often be disputed with the card issuer within a set window, and a bank account payment may have a different route. Regulators and consumer protection offices in your state or province also take written complaints, and they often ask for the same paper trail you already built. Keep every reply the company sends, and do not send original documents to anyone in this chain.
