Can I fax a tax payment voucher?

Usually no, not to the tax agency itself, because a payment voucher is meant to travel with a payment, not on its own. Faxing it to your accountant, bookkeeper, or preparer is a different matter and is common. Check the agency's own instructions first, since a faxed voucher alone rarely counts as a payment.

This is general information, not tax advice.

What is a payment voucher actually for?

A payment voucher is a slip that tells the tax agency who is paying, for which tax year and form, and how much. In the United States, the familiar example is Form 1040-V for an individual income tax payment. The voucher is designed to sit on top of a cheque in an envelope, so a processing centre can match the money to the right account without opening the return itself. That pairing is the whole point. A voucher without a payment gives the agency nothing to apply, and a payment without a voucher can sit unmatched while staff work out where it belongs.

That design explains why fax instructions for vouchers are hard to find. Tax agencies publish fax numbers for some forms and correspondence, but a payment voucher is not correspondence. It is a routing slip for money, and money does not travel by fax. If you fax only the voucher, the most likely result is a polite reply saying no payment was received, or silence, while the deadline keeps running.

When does faxing a voucher make sense?

Notice the pattern: in every useful case, the fax goes to a person who needs to see the voucher, not to the payment system itself. Keep that split in mind before you send.

How do US and Canadian rules differ?

In the United States, the Internal Revenue Service steers most payers toward electronic payment, and its mailed voucher route still exists for those who pay by cheque. State tax agencies vary: some accept faxed correspondence about a payment, but few treat a faxed voucher as the payment itself. In Canada, the Canada Revenue Agency works the same way in practice: payments go through a bank, a CRA online account, or by cheque with a remittance voucher, and a faxed voucher on its own does not move money. Provincial agencies follow the same logic, even where their forms look different.

One detail trips people up in both countries. A voucher often carries a full account or identification number. Fax machines store sent pages in memory, and a shared office fax can print to a tray anyone can read. If you must fax a voucher to your preparer, black out any number they do not need, and call ahead so someone is waiting at the machine.

What should you do instead near a deadline?

If the deadline is close, pay electronically through the agency's own system first, then mail or keep the voucher as a record. Electronic payment gives you a confirmation number at once, which is stronger proof than a fax confirmation page. If you must pay by cheque, mail the voucher with the cheque well before the deadline, use a tracked or registered service for proof, and keep a copy of both the voucher and the cheque. If a payment later goes missing, that pair, plus the bank record showing the cheque cleared, is what an agency asks for.

When an agency tells you a payment is missing, that is the one time a faxed voucher earns its keep. Send the copy with a short cover note giving the cheque number, the date mailed, and the amount, and ask the office to trace it. Keep the fax confirmation page with your copy of the voucher.

How can LetterAgent faxing help here?

You send a fax by asking your AI assistant. You get a per-fax quote with the page count verified, you approve the exact total, you pay once through Stripe, and the fax is sent. Only US and Canadian fax numbers are supported, and there are no inbound faxes. Fax through LetterAgent is in testing, so treat any fax plan as tentative until your assistant confirms it can send, and never treat a faxed voucher as proof that a tax payment was made.
