Can I fax a pay stub?

Yes, a pay stub can be faxed, and landlords, lenders, and government offices still ask for it this way. Before you send it, black out your full Social Insurance or Social Security number and bank account details, send only the pages requested, and keep the fax confirmation page. A pay stub is proof of income, which is exactly why it needs care before it goes anywhere.

Why do recipients still ask for a fax?

Many rental offices, loan processors, and benefits agencies run on fax intake because a fax arrives as a single document in a queue tied to a file number, with no email attachment to lose and no portal login to manage. For the recipient, a faxed pay stub is also harder to alter casually than a photo of a screen, since it arrives as a scanned page rather than an editable file. That is why a request that sounds old-fashioned, "fax us your last two pay stubs," is still standard in rental applications, mortgage files, and income-verification checks.

LetterAgent faxing is currently available in testing: you ask your AI assistant, get a per-fax quote with the page count verified, approve the exact total, pay once through Stripe, and the fax is sent to a US or Canadian fax number. Fax is in testing and activation is in progress, so it is described as available in testing, not as a same-day guarantee. There are no inbound faxes: LetterAgent sends faxes out only.

What should I black out first?

A pay stub carries more sensitive data than most people notice at a glance. Before you fax it, go through the stub line by line and redact anything the recipient did not ask for. The table below is the checklist to use.

Field on the stubWhat to doWhy
Full Social Insurance or Social Security numberBlack it out entirelyThe recipient verifies income, not identity, from this number
Bank account numberBlack it out, unless the recipient is your bankDirect-deposit details are not proof of income
Home addressLeave it only if the recipient needs it for the fileRental and loan files usually do need it; a benefits check may not
Pay rate, hours, gross and net payLeave visibleThis is the information the recipient is actually verifying
Employer name and pay periodLeave visibleIt ties the stub to a real job and a real date range
Year-to-date totalsLeave visibleReviewers use these to spot a stub that covers only a good week

Redact on a copy, not the original, and check the copy after redacting: hold it up to light or view it at high contrast, because a marker that looks opaque on screen can turn translucent on a fax scan. Fax machines reproduce in black and white at modest resolution, which actually helps here, since light grey marker strokes tend to drop out, but do not rely on that. A solid black box over the field, verified on the copy, is the standard.

How many pay stubs should I send?

Send exactly what was asked for, usually the most recent one or two stubs, or a full month's worth for hourly workers whose hours vary. Sending a whole year of stubs does not strengthen your case; it hands over more data than anyone needs and slows the reviewer's work. If the request says "recent pay stubs" without a number, two is the safe default, and you can offer more if asked.

How do I prove I sent it?

Keep the fax confirmation page, which records the destination number, the page count, and the time of transmission. If the recipient later says the fax never arrived, the confirmation page is your evidence, and it is also the first thing a reviewer asks for. Note one honest limit: a confirmation page proves the fax reached the recipient's machine, not that a person read it. If the document is time-sensitive, follow up with a call or message a day or two later and ask the recipient to confirm the pages are in your file.
