Home > Guides > Stamp on a reply envelope
It depends on the kind of reply envelope. A courtesy reply envelope needs your stamp, because the sender only provided the envelope. A business reply envelope needs no stamp, because the company receiving it pays the postage when it arrives. Sending a courtesy reply envelope without a stamp means it travels postage due or comes back to you.
Look at the top-right corner, where a stamp would go. A business reply envelope has a printed box or permit imprint there, often reading "No Postage Necessary" or "Postage Will Be Paid By Addressee," along with a permit number. That imprint is the postage: the company holds a permit with the postal service and is charged for each envelope that actually comes back, plus a handling fee per piece. A courtesy reply envelope has nothing in that corner, or just the company's pre-printed address. It is an empty envelope with the address filled in for you, and the stamp is your job.
The distinction is easy to miss because both arrive pre-addressed and both feel "ready to mail." The tell is always the corner. If there is a printed permit box, do not add a stamp: adding one does not hurt delivery, but it wastes your stamp, since the permit already covers the postage. If the corner is blank, the envelope is not paid for, and mailing it unstamped is the same as mailing any unstamped letter.
| Envelope type | Stamp needed? | Who pays | How to spot it |
|---|---|---|---|
| Courtesy reply envelope | Yes, you add a stamp | You, the sender | Blank top-right corner, pre-printed address |
| Business reply envelope | No | The receiving company, per piece returned | "No Postage Necessary" permit box in the corner |
| Self-addressed stamped envelope (SASE) | Already included | The person who sent it to you | A stamp already stuck on it |
Three outcomes are possible, and none of them are good. The most common is that the envelope is returned to you for insufficient postage, which costs you days and, if a deadline was involved, possibly the deadline itself. The second is that it is delivered postage due, meaning the recipient must pay the missing postage plus a fee to accept it, which is an embarrassing way to reply to anyone and a costly one for the recipient. The third, for mail without a return address, is that the envelope goes to a dead-letter facility and may never arrive at all.
Weight matters here too. A standard stamp covers a standard letter up to the usual weight limit, but a reply envelope stuffed with several pages, photos, or a thick form may need extra postage. If you are returning more than a page or two, weigh the sealed envelope or ask at the counter. A courtesy envelope that is short by even a small amount can be returned just as surely as one with no stamp at all.
Canada has the same two categories, with a wrinkle for cross-border replies. A Canadian business reply envelope works inside Canada the same way an American one works inside the US, but a US stamp does not pay Canadian postage, and a Canadian stamp does not pay US postage. If you are in the US replying to a Canadian company with a courtesy envelope, you need US postage for the trip to Canada, and the reverse applies for a Canadian replying to a US company. Business reply permits are also domestic: a US business reply envelope mailed from Canada will not travel free, and may be returned or charged.
Wedding invitations and similar personal mail often include a third variant: the self-addressed stamped envelope, where the host has already stuck a stamp on the reply envelope. Those need nothing from you except the reply card inside. Check the corner before adding a stamp, since doubling up wastes postage that the host already paid for.
You can simply use your own envelope and address it to the company yourself, with your own stamp. Nothing requires you to use the envelope they sent, and a plain envelope with the correct address and postage delivers exactly the same way. If the original was a business reply envelope, you lose the free postage by using your own envelope, but you gain nothing by waiting for a replacement if a deadline is near. Include any reference number, account number, or form the company asked for, since that is what lets them match your reply to your file.
With LetterAgent, letters go out in a standard double-window envelope with no inserts and no return envelope included, so the reply-envelope question does not arise for letters you send this way. If someone replies to you, they will use their own envelope and postage. You describe the letter to your AI assistant, approve the exact quoted price, and it is printed and mailed.
