Address the parcel with the student's full legal name, their campus mailbox or room number, and the university mailroom address exactly as the school publishes it, then send them the tracking number so they know to collect it. Campus mailrooms sort thousands of parcels a week, and a parcel addressed to a nickname or missing a box number can sit unclaimed for days while everyone assumes someone else has it.
Every school publishes its own format, and it varies more than people expect. Some want the student's name, residence hall, and room number; others assign a mailbox number that has nothing to do with the room. Some route parcels through a central mail centre, others through a building desk. Find the format on the university housing or mail services page and copy it exactly, including any codes. A parcel addressed "care of" a friend, or to a nickname, is the classic cause of a mailroom delay.
Use the student's full legal name as it appears on their enrolment, not the name they go by socially. Mailroom staff match parcels against a roster, and a mismatch means the parcel waits in an unclaimed pile until someone investigates. If the student changed their name recently, confirm which name the mailroom has on file before you ship.
| Address element | Why it matters | Common mistake |
|---|---|---|
| Full legal name | Matched against the mailroom roster | Nickname the staff cannot match |
| Mailbox or room number | Routes the parcel to the right bin | Room number when a mailbox number is required |
| Residence hall name | Separates identical room numbers | Hall omitted, parcel goes to the wrong building |
| University mailroom address | Gets it into the campus system | Street address of the dorm, bypassing mail services |
Move-in week is the worst week. Mailrooms are flooded with parcels from every family at once, and processing slows to a crawl. If you can, ship after the first week of term, when the backlog clears. Exam periods are the next worst: students are less likely to check mail, and parcels can sit past pickup deadlines. For perishables, ship early in the week so a weekend delay does not leave food sitting in a warm mailroom.
Summer is its own trap. Many students move out in spring and do not return until autumn, and parcels sent to a dorm address in summer may be returned or held until the next term. Confirm the student's summer address before shipping anything between terms, and never assume a dorm address works year-round.
Skip anything the residence bans: candles, hot plates, and many cooking appliances are prohibited in most dorms, and a parcel containing them can be confiscated. Skip cash, which cannot be replaced if the parcel is lost, and skip prescription medicines, which should go through a pharmacy transfer. Valuables such as laptops are better carried in person than shipped to a mailroom where dozens of hands touch each parcel.
Good care-package choices are snacks with a long shelf life, toiletries, warm socks, and a handwritten note. If you ship within Canada and the parcel is under 5 kg, a Canada Post Xpresspost label can be arranged through LetterAgent via your AI assistant: describe the parcel, approve the exact quoted price, pay once through Stripe, and print the PDF label. Either way, tell the student the tracking number and the expected day, so they can collect it promptly instead of discovering it a week later.
Ask the student to check with the mail centre in person, with photo ID and the tracking number: unclaimed parcels are often found once a staff member searches by name rather than by tracking. If the parcel shows delivered but the student has no pickup notice, check whether it went to a parcel locker, which sends its own code separately, or to a building desk rather than the central mailroom. File a carrier claim only after the campus search comes up empty, since most campus "losses" are mis-shelving, not carrier loss.
