Ship several days before the birthday, use a plain outer box with no retailer branding or prices visible, put the card on top inside, and send the tracking link to yourself rather than the recipient if the gift is a surprise. The goal is simple: the box should arrive on time, look unremarkable from outside, and feel personal the moment it is opened.
Ship at least several days before the birthday, and a full week ahead for a parcel crossing a province or the country. Delivery estimates assume everything goes right, and birthdays do not move for a sorting delay. If the parcel will arrive early, that is a feature, not a flaw: tell the recipient it may arrive a day or two early, or ask a family member to hold it until the day. A parcel that arrives late, on the other hand, turns a celebration into an apology.
Watch for holiday weekends and the recipient's own plans. A parcel delivered to an empty house on a long weekend sits on a porch for days, and a birthday trip means nobody is home to receive it. A quick message, "Are you home next week?" saves more birthdays than express shipping ever will.
| Situation | Ship by | Extra step |
|---|---|---|
| Same city | A few days before | Confirm they are home that week |
| Same country, far away | About a week before | Track it yourself, do not rely on estimates |
| Surprise gift | Early, with a holder | Ask someone nearby to hold it until the day |
| Birthday trip planned | Before they leave, or after return | Never ship into an empty house |
Surprises leak through packaging. Retailer boxes print the store name on the outside, packing slips show prices, and tracking emails announce the sender. Fix all three: rebox the gift in a plain box, remove the packing slip or replace it with your card, and keep the tracking link to yourself. If you ordered the gift online and had it shipped to you first, you control all of this; if you ship direct from a retailer, use the gift option at checkout, which usually hides prices and adds a gift message.
For a child, the surprise extends to the wrapping. Wrap the gift before boxing it, so opening the parcel feels like opening a present rather than unpacking a delivery. For an adult, a wrapped gift inside a plain box still lands better than a bare item in a mailer. Add the card on top, not buried under tissue: the first thing seen sets the mood for everything under it.
Keep it short and specific: one line about why you chose the gift beats a paragraph of generic birthday wishes. Mention a shared memory or an inside joke if you have one, and sign it the way they know you, not with a formal name they never hear. If the gift is late despite your planning, say so in the card rather than pretending: "Your real gift is on its way, this card is the placeholder" is honest and usually gets a laugh.
For a Canadian destination, a Canada Post Xpresspost label covers parcels up to 5 kg, and LetterAgent can provide that label through your AI assistant: describe the parcel, approve the exact quoted price, pay once through Stripe, and receive the label as a PDF. If the gift is heavier than that, or the destination is outside Canada, use a carrier service with tracking and tell the recipient to expect it. Either way, photograph the packed box and keep the receipt until the birthday has passed and the gift is confirmed received.
