Home > Guides > Mailing to a hotel guest
Address the letter to the guest "in care of" the hotel, using their full name as it appears on the reservation, and include their stay dates. Call the front desk before mailing to confirm the guest is registered and that the hotel will hold mail for them. LetterAgent needs a real recipient address: the hotel's street address with the guest's name works, but a hotel name alone does not.
Put the guest's name first, then "c/o" and the hotel name, then the hotel's street address, city, and postal code. Do not use the room number: guests change rooms, and the front desk sorts guest mail by name anyway. Including the check-in and check-out dates in a small note under the name helps the desk match the letter to the right reservation.
| Line | Example (US) | Example (Canada) |
|---|---|---|
| Recipient | Jordan Ellis | Jordan Ellis |
| Care of | c/o Grand Plaza Hotel | c/o Grand Plaza Hotel |
| Street | 440 W Madison St | 440 W Hastings St |
| City, region, code | Chicago, IL 60606 | Vancouver, BC V6B 1L4 |
Hotels handle guest mail as a courtesy, not an obligation. A quick call confirms three things: the guest is actually registered under the name you have, the hotel accepts mail for guests, and how long they will hold it. Some properties return unclaimed guest mail quickly, and a letter that arrives after checkout will usually be sent back. If you are mailing through LetterAgent, that call is doubly worthwhile because the letter is printed and mailed from your description, you cannot recall it mid-route.
The front desk logs incoming guest mail and holds it for pickup at the desk, or slips it under the room door at smaller properties. Large hotels sort by guest surname and cross-check against the reservation system, which is why the exact reservation name matters: a letter to "Jay" when the room is booked under "Jordan Ellis" can sit unclaimed. For packages, some hotels charge a handling fee or direct parcels to a business center, so a letter is the simplest thing to send.
Mail early in the stay, not before it. A letter mailed before the guest arrives can be returned as "no such guest" if the desk is strict. Aim for the letter to arrive mid-stay: it needs the usual transit time plus a day for the front desk to sort it. If the trip is short, a letter may simply be too slow, and you are better off with a message through the guest directly.
