Mail your rental application with a cover letter, copies (never originals) of your ID, pay stubs, and references, plus the landlord's application form if they gave you one. Send it certified or registered so you have a dated paper trail proving exactly when it arrived. Keep a full photocopy of everything you mail for yourself before it goes in the envelope.
A complete application usually includes:
| Document | What to mail | Why |
|---|---|---|
| Application form | Original signed form, or a clear signed copy | Your signature is what the landlord is after |
| Photo ID | Photocopy only | Originals get lost; a copy is enough to verify identity |
| Pay stubs | Photocopies | Payroll records are replaceable, but why risk it |
| References | Written list, no documents needed | Just names and numbers |
| Bank statements | Copies with account numbers partly redacted | Show balances without handing over full account details |
One rule that matters more than people think: mail the same package to every landlord you apply to. Landlords compare applicants, and a complete, organized application stands out in a competitive market far more than a partial one that arrives in two installments.
It is standard practice, but take two precautions. First, write the purpose and date across the photocopy in light ink (for example, "rental application, Oct 2026") so the copy cannot be cleanly reused if it falls into the wrong hands. Second, confirm you are mailing to the landlord's real business address before sending anything with your Social Security number or Social Insurance Number on it. Rental scams routinely collect application packets from fake listings; a quick check that the landlord or property management company exists, through the county assessor or a business directory, takes five minutes.
Hand delivery is fastest and lets you meet the landlord, but mailed applications have a quiet advantage: proof. A certified or registered mailing creates a dated record that the application was sent and received. In a competitive rental market, or any situation where the landlord later says "we never got it," that paper trail settles the question. If timing matters, mail it early and mention in your cover letter that the original is also available by email if they want a head start. Many landlords accept a faxed copy first and the mailed original after, which gets you the speed of fax plus the formality of mail.
