Can I fax a rental application to a landlord?

Yes, and in a competitive rental market the fax confirmation page is the point: it timestamps exactly when your application arrived, which settles first-come arguments. Fax the application, a cover sheet with your contact details, and copies of your ID and pay stubs. Then confirm the landlord received it, because a confirmation page proves it sent, not that it was read.

The confirmation page is the whole argument for fax. It shows the date, the time, the recipient's number, and how many pages went through: that settles "my application was first" disputes in a way nothing else in the list does. Email is just as fast to send but easier to lose: rental inboxes are full of applications that got spam-filtered, and "I never got your email" is genuinely hard to disprove. Mail is reliable but slow, and slow loses apartments.

What should I include in the fax?

Lead with the cover sheet: your name, phone number, and email, the unit or property address you're applying for, and the total page count ("6 pages including this cover sheet"). That page count is doing quiet work: if the landlord receives five pages, they know one is missing and can ask for it, instead of reviewing an incomplete application.

Behind the cover sheet, in order: the completed application form, a copy of your photo ID, and proof of income (recent pay stubs or an employment letter). Add references if the application asks for them. Fax copies and keep your originals: nothing about a fax requires the original document, and your originals should stay in your files. One caution on the ID copy: fax resolution is fixed and fairly coarse, so make the copy dark and high-contrast before you send it. A faint ID copy faxes as a gray smudge.

How do I know it actually went through?

Check the confirmation page your fax service or machine produces: confirm it shows the right recipient number, all pages, and a successful result. Then call or text the landlord to confirm they can actually read it. A confirmation page proves transmission, not legibility, and a smeared pay stub helps no one.

Two practical details. First, make sure you have the right fax number: landlords sometimes list an office fax and a personal fax, and applications sent to the wrong one sit unread. Second, if the line is busy, most fax services retry automatically over the next little while. If it keeps failing past the application's deadline, ask the landlord for an alternate number or an email address rather than letting the deadline pass silently.
