Can I mail a PDF as a physical letter?

Yes. A PDF, Word document, or Google Doc can be printed and mailed as a physical letter exactly as it looks on screen. Before it prints, check the page count, the space at the page edges, and the last page: the quote counts every page, including a blank one, and what you see on screen is what the recipient gets.

Which file format should you use?

PDF, every time. A PDF freezes your fonts, margins, and page breaks exactly where you put them, so the printed letter matches your screen. Word documents and Google Docs reflow when opened on a different machine or printer: a font the printer doesn't have gets substituted, a paragraph spills onto a new page, and suddenly your one-page letter is two pages with a widow line. Exporting to PDF first removes all of that uncertainty.

The one PDF caveat: scanned PDFs are photographs of pages, not real text. They print fine, but nothing can search or select the text, and if the scan is crooked or low-resolution, the print will be too. If you're scanning a signed document to mail, scan at a decent resolution and check the result at full size before sending it.

What should you check before it prints?

Three things. First, the page count: quotes are based on verified page count, so open the PDF and count the pages yourself, including the last one. Documents often hide a blank final page from a trailing paragraph or a section break, and a blank page still counts as a page. Delete it before you send.

Second, the page edges. Letters print on standard 8.5x11in paper, and printers can't print to the very edge of the sheet. If your document uses tiny spacing at the edges or full-bleed backgrounds, the edges will be cut off. Keep all text at least half an inch from every edge and you'll be safe. Third, read the last page and the page breaks: make sure no paragraph strands a single line alone at the top of a page and no table splits awkwardly across two pages. Five minutes of checking beats a reprint.

How does this work with LetterAgent?

Black-and-white or colour, single-sided, in a double-window business envelope with first-class postage.

Because the letter prints exactly as you provide it, the formatting checks above are on you: LetterAgent prints the file, it doesn't proofread it. If you have your assistant draft the letter in the chat instead of uploading a file, ask to review the text before approving the quote. Either way, what you approve is what gets printed.
