How do I send personalized letters to many people?

A mail merge pairs one letter template with a list of names and addresses so each recipient gets their own personalized copy. For a handful of letters, dictate or type each one and mail them individually through LetterAgent. For dozens or hundreds, a bulk mail service is the right tool. The method depends on volume.

What is a mail merge, exactly?

You write the letter once with placeholders where the personal bits go: Dear {{first_name}}, an address block with {{street}}, {{city}}, and so on. Then you feed it a list, usually a spreadsheet, with one row per recipient. The merge fills in each row and produces a stack of finished letters, each addressed to one person. Word processors have done this for decades; email tools do the same thing for inboxes. The paper version just needs a printer, envelopes, stamps, and a free afternoon, or a service that handles the printing and posting for you.

When does LetterAgent fit, and when doesn't it?

LetterAgent quotes and mails letters one at a time: each letter is its own job with its own verified page count, its own approved price, and its own payment. That's ideal when you have a handful of genuinely personal letters, like thank-you notes to a dozen donors or notices to a few tenants. It is not a bulk mail tool. If you need five hundred identical-with-a-name letters, use a bulk mailer; asking an assistant to run five hundred individual LetterAgent jobs would take all day and cost you full postage on each. Be honest with yourself about the count before you start.

How do you keep a mail merge from embarrassing you?

Every mail merge veteran has a "Dear ," story: a blank field that sailed through unnoticed. Print one proof letter first and read every placeholder out loud. Then check the list itself: sort it and look for duplicates, blank rows, and people who moved. A merge pulls addresses blindly, so one stale row is one wasted letter. And check that the address inside the letter matches the address on the envelope, because with a double-window envelope the recipient's address shows through the window: if the inside address says Toronto and the window says Tampa, the letter goes to Tampa. Finally, if any letter carries a different message for a different person, proof the logic, not just the spelling: the wrong paragraph in the right envelope is worse than a typo.
