Can I fax a W-2 form?

Yes, in many cases, but be careful with the details. Employers, accountants, and tax agencies often accept a W-2 copy by fax, yet the form carries your full Social Security number. Confirm the recipient fax number directly, send only to a trusted number, and keep the confirmation page. Never fax a W-2 to a number you have not verified.

Who accepts a W-2 by fax?

Employers correcting a W-2, accountants preparing a return, and some tax agencies all work with faxed W-2 copies. The pattern is consistent: the recipient already has a relationship with you and a reason to expect the form. A stranger who asks you to fax a W-2 out of the blue is a different story. Tax forms are a favorite tool for identity theft, and a W-2 alone hands over your name, address, employer, wages, and full Social Security number. Verify the request through a number you already trust before sending anything.

How do I send one safely?

Call the recipient at a known number and confirm the fax number yourself; do not trust a number printed in an unexpected email.
Send only the W-2 pages requested, not your whole return.
Use a cover sheet that names the recipient and says the pages contain sensitive tax information.
Ask the recipient to confirm receipt and then delete or shred their fax copy once it is filed.

What if my W-2 is wrong?

If the numbers on your W-2 do not match your final pay stub, contact your employer first and ask for a corrected W-2, known as a W-2c. Faxing the wrong form to your accountant does not fix the employer's record, and filing with wrong numbers can trigger a notice later. Keep both the original and the corrected form, plus any confirmation pages, until the tax year is fully closed.
