Yes, many sellers accept a tax exemption certificate by fax, and faxing is a common way to get one on file before an order ships. The seller still decides whether your certificate qualifies, so confirm acceptance first, send a complete and legible copy, and note the expiry or renewal date shown on the certificate.
This is general information, not tax advice.
An exemption certificate states who you are, why your purchases are exempt, and which state or province issued the exemption. Common reasons include resale, nonprofit status, farming, and manufacturing use. The seller keeps the certificate on file as its own protection: if a tax authority questions an untaxed sale, the certificate is the evidence the sale was legitimate. That is why sellers check certificates closely instead of taking your word for it.
| Field on the certificate | Why sellers check it |
|---|---|
| Buyer name and address | Must match the account placing the order |
| Exemption reason | Must fit what you are actually buying |
| Issuing state or province | Must cover where the sale takes place |
| Expiry or renewal date | An expired certificate does not protect the seller |
Refusals usually come down to three things: the certificate is expired, the exemption reason does not cover the goods, or the copy is too blurry to read the certificate number. Multi-state sellers add a fourth: a certificate valid in one state may not exempt a sale shipped to another. If a seller refuses, ask exactly which field failed. A refusal over a blurry copy is fixed by refaxing; a refusal over jurisdiction may mean you need a separate certificate for that state.
Some certificates never expire, while others carry a renewal date or expire when your registration lapses. Sellers with your certificate on file may still charge tax once it expires, even on a long-running account, so calendar the renewal date when you first send it. When you renew, fax the new certificate to every seller who holds the old one, and ask each to confirm the replacement is on file before your next order.
