When do employers have to mail W-2s?

Employers must furnish W-2s to employees by January 31 each year, and file them with the Social Security Administration by the same date. A properly addressed W-2 that is mailed on or before the deadline counts as on time. When January 31 falls on a weekend or federal holiday, the deadline shifts to the next business day.

This is general information, not tax advice.

What is the exact deadline for the current tax year?

The rule is always January 31, and it applies twice: employers must get Copies B, C, and 2 into employees' hands (or properly addressed in the mail) by that date, and they must file Copy A with the SSA by that date too. These are two separate obligations with the same calendar date, so hitting one does not cover the other.

Because January 31 does not always land on a weekday, the practical deadline moves. For W-2s covering 2025 wages, January 31, 2026 was a Saturday, so the deadline shifted to Monday, February 2, 2026, for both the SSA filing and the employee copies. For W-2s covering 2026 wages, January 31, 2027 is a Sunday, so the deadline will shift to Monday, February 1, 2027. When the calendar pushes the date, plan around the shifted day from the start rather than assuming the 31st.

ObligationDue dateHow it is met
Furnish W-2 to employees (Copies B, C, and 2)January 31 (next business day if it falls on a weekend or holiday)Properly addressed and mailed on or before the due date
File Copy A with the SSA, with Form W-3Same datePaper filing or electronic filing through the SSA
Former employees who left mid-yearSame dateCan be furnished any time earlier, but no later than the deadline

Does mailing on the deadline really count?

Yes, for the employee copies. IRS Topic 752 says the employer meets the furnish requirement if the form is properly addressed and mailed on or before the due date. That is the part employers and payroll departments care about most in the last week of January: a postmark on the deadline day counts. The form does not need to arrive by the deadline, only to be sent by it.

What about former employees and early requests?

Employees who quit or were let go before year-end still get a W-2, covering the wages they did earn. The employer may send it any time before the deadline, but no later than it. There is also a lesser-known rule for impatient employees: if a worker asks in writing for their W-2, the employer must furnish it within 30 days of the request or within 30 days of the final wage payment, whichever is later. That rule exists so an employee who needs the form early, say for a loan application, does not have to wait until January.

Can the deadline be extended?

There are no automatic extensions for filing W-2s. The IRS grants them only for very specific reasons, and the employer has to apply on Form 8809. An employer that simply runs late faces per-form penalties that grow the longer the forms stay unfiled, and the penalties apply separately to the SSA filing and the employee copies.

Two administrative details trip up small employers every year. First, employers filing 10 or more information returns must file electronically unless the IRS grants a waiver. Second, Copy A sent to the SSA must be on the official red-ink version of the form (or an approved substitute): a photocopy or printout of Copy A will not scan. When an employer e-files through the SSA's online service, the system builds the Form W-3 transmittal automatically, so no separate W-3 is needed.

What should an employee do if the W-2 never arrives?

Contact the employer first, then the payroll provider if there is one. If February is well underway and nothing has arrived, the IRS can help locate the employer, and the employee may need to file using estimated figures on Form 4852 and amend later. Keep pay stubs: they are the backup record of wages and withholding for the year.
