Why did the letter I dropped in a blue box not get postmarked the same day?

Mail from a blue collection box travels to a regional processing plant before it is cancelled, so the postmark carries the plant's date, not the day you dropped the letter in. Under current USPS processing changes, that can be a day or more later. For ballots, tax filings, or legal deadlines, get a hand-cancelled postmark at a post office counter instead.

What happens after I drop a letter in a blue box?

Nothing happens at the box itself. A carrier empties it (usually once a day; the pickup time is posted on the box), and your letter joins a truck headed for a regional processing plant, which may be in another city. The postmark is applied at the plant, by cancelling equipment, when your letter is processed there. So the postmark answers "when did this reach the plant's machines," not "when did the sender drop it in the box." On a normal week that gap is about a day. Around holidays, or after a weekend collection, it can be longer.

Why do some of my letters have no visible postmark at all?

Not every piece gets an ink postmark. Much first-class mail is cancelled by high-speed inkjet equipment that prints a date and city line, but some pieces are processed through lanes where the visible cancellation never lands cleanly, or the address barcode sprayed on the envelope does the routing work and the ink mark is faint or missing. A missing or faint postmark is normal and does not mean the letter was never processed. It only becomes a problem when someone on the receiving end needs proof of the mailing date.

When does the postmark date actually matter?

For everyday mail it does not. It matters when a deadline is judged by the postmark rather than the arrival date. The classic cases are election mail (some states accept ballots postmarked by Election Day), tax returns (the IRS treats a timely postmark as timely filing), and court or contract filings with postmark-based deadlines. If your deadline works this way, never trust a blue box on the last day: the plant date could land after your deadline even though you mailed it in time.

How do I get a postmark with the date I need?

Take the letter to a post office counter and ask for a hand cancellation, sometimes called a manual postmark. The clerk stamps it with that day's date while you watch, and that is the postmark the envelope carries. Two practical notes: do this before the office's last collection of the day, and keep the counter receipt if you use certified mail, since it records the acceptance date independently of any postmark.

What does this mean for mail-in ballots specifically?

Ballot rules vary by state: some count ballots postmarked by Election Day, others require the ballot to arrive by Election Day regardless of postmark. If you are in a postmark state and mailing close to the deadline, use the counter and ask for a hand cancellation. And mail early either way: a perfect postmark does not help if the ballot arrives after the state stops counting.

How does LetterAgent handle the mailing date?

LetterAgent letters go through the same postal system, so the same rule applies: the postmark reflects when the letter is processed, not when you approve the send. If you are mailing something with a hard deadline, build in a few days of extra time, or choose the registered option (US Certified Mail or Canada Registered Mail) so you have tracking and proof of delivery on top of whatever the postmark shows.
