Fax forwarding automatically sends incoming faxes somewhere else: another fax number, an email inbox, or a document system. LetterAgent is outbound-only, so it cannot receive faxes and cannot forward them. The general concept still matters, because forwarding is how offices handle faxes when nobody is at the machine.
Most office fax machines have a forwarding option buried in the settings, usually called "fax forward," "forward to another number," or "remote retrieval." You enter a destination fax number, and from then on the machine takes every incoming fax and immediately dials that number and re-sends it there, instead of (or in addition to) printing it locally.
Why would anyone do that? The classic case is a business whose main office closes at five but whose fax number is printed on invoices and intake forms. Rather than let faxes pile up on the machine overnight, the machine forwards them to the owner's home office or a branch that stays open later. Another common use: a fax machine that ran out of paper can be told to forward incoming faxes to a second machine, so nothing sits unread in memory.
One detail that surprises people: forwarding on a machine re-sends the fax as a brand-new fax call. The header line on the forwarded copy shows your machine's station ID, not the original sender's. If you need the original sender's header for proof, keep the first copy too.
Fax-to-email is the modern version and works differently. Instead of a phone call re-sending the fax, a fax service receives the call, converts the pages to a PDF, and emails the PDF to addresses you choose. No machine is involved, and there is nothing to run out of paper.
| Machine-level forwarding | Fax-to-email service | |
|---|---|---|
| Needs a phone line | Yes, the machine answers the call | No, the service answers it |
| Needs the machine on | Yes, always powered and connected | No hardware at your end |
| Output format | A fax call to another number | A PDF attached to an email |
| Cost per forward | A second phone call for every fax | Usually bundled into the service plan |
| Works when line is down | No | Yes, the service receives it |
Fax-to-email usually requires porting your fax number to the service or getting a new number from it, and then setting forwarding rules in its dashboard: which addresses get the PDF, whether to also keep a copy, and what to do with junk. Some services can split by sender, so faxes from a known pharmacy number go to one inbox and everything else to another.
Forwarding moves documents to a new place, and each hop is a place they can be seen. A fax forwarded to a home machine can be read by anyone near the printer. A fax-to-email PDF lands in an inbox, where it is subject to email's usual risks: forwarding rules the owner forgot about, shared mailboxes, and retention policies that keep copies longer than the office intended.
For sensitive documents like medical records, that matters twice. A misdirected fax is already one of the classic privacy complaints in healthcare, and forwarding adds another destination where a typo in an email address or a stale rule can send the file somewhere it should not go. If you set up forwarding, treat the destination list like a key: review it whenever staff changes, and test it by sending yourself a fax and checking where it lands.
No. LetterAgent sends faxes but does not receive them, so there is nothing on our side to forward. If you need inbound faxes routed to email or another number, you want a fax-to-email service or a machine with forwarding enabled, not an outbound fax service. For the sending half of the problem, though, you can ask your AI assistant to send a fax through LetterAgent: approve the exact quoted price and it is sent, with no machine of your own to maintain or forward from.
