How do I give my landlord move-out notice by mail?

Put your move-out notice in writing, state your name, the rental address, and the date you will vacate, then mail it early enough to beat your jurisdiction's notice period. Keep a copy and send it by a trackable method so you can prove when it went out. A late or vague notice can cost you an extra month of rent.

How much notice do you have to give?

It depends on where you live and what kind of tenancy you have. Many US states require 30 days' written notice for month-to-month tenancies, but the details vary: some states count from the date the landlord receives the notice, others from the date you send it, and fixed-term leases often need no notice at all unless the lease says otherwise. Your lease may also set its own notice address or method, so read it before you mail anything.

In Ontario, the rules are specific: a tenant on a monthly tenancy generally gives at least 60 days' notice using the Landlord and Tenant Board's N9 form, timed to end on the last day of a rental period. Mailed notice has a built-in delay you must account for: under Ontario's Residential Tenancies Act, notice sent by mail is deemed given on the fifth day after mailing. That means a notice mailed on the 1st counts as given on the 6th, so count backwards from your deadline and mail early. Other provinces have their own notice periods and forms; the pattern is the same everywhere, which is that the deadline is measured precisely and a day late can push your end date out by a full rental period.

Keep the letter short and unambiguous. "This letter is my 60 days' notice that I will vacate unit 4 at 123 Main Street on March 31" is the whole job. Don't bury the date in pleasantries, and don't make the end date conditional on anything ("once I find a new place"). If your jurisdiction has an official form, use it; a free-form letter works in most places, but the official form removes all argument about whether the notice was valid.

Why send it by certified or registered mail?

Because the most common move-out dispute is "I never got your notice," and a mailing receipt ends that argument. USPS Certified Mail and Canada Post Registered Mail both create a record of when the letter was mailed and when it was delivered, with a signature on delivery. That paper trail proves you gave notice on time even if the landlord claims otherwise.

Send the notice to the address in your lease for landlord communications, not just the address where you drop off rent if those differ. Keep the mailing receipt, the tracking number, and the delivery confirmation with your copy of the notice. If you also tell the landlord in person or by text, treat that as a courtesy on top of the mailed notice, not a replacement for it; verbal notice is the kind that evaporates in disputes.

What if your landlord claims they never got it?

This is exactly what the paper trail is for. Produce the mailing receipt and delivery confirmation showing the date mailed and the date delivered, and the claim collapses. If you mailed it without tracking and the landlord denies receipt, send a second notice immediately by a trackable method and keep both copies; the second notice's date becomes your provable date, so act fast rather than arguing about the first one.

Keep paying rent through the legal end of your tenancy even while disputing the notice date. Stopping rent early gives the landlord a separate claim against you regardless of the notice fight. And photograph the unit's condition on your way out: notice disputes and deposit disputes often arrive together, and dated photos are cheap insurance for both.
