How do I redact sensitive information before mailing?

Redact by deleting the text itself, then flattening the document. Covering words with a black box in a PDF leaves the text underneath, and anyone can copy-paste or strip the box to read it. A marker on paper can bleed through. The safe move is removal, not covering.

Why is a black box not a redaction?

A black rectangle drawn over text in a PDF is a picture on top of the words, not an erasure: the characters are still in the file. Anyone who selects the text under the box, copies it, and pastes it into another document gets the "redacted" content back in full. This mistake has burned law firms, government agencies, and newsrooms alike. Highlighting in black is worse, because the highlight is literally designed to be removable. If your redaction can be undone with Ctrl+C, it isn't a redaction.

How do you redact properly?

Use a real redaction feature (Adobe Acrobat's redaction tool, or an equivalent) that deletes the actual characters, not a drawing tool. Then flatten the PDF so nothing editable remains, and test your own work: try selecting and copying the blacked-out area, and search the document for a word you redacted. If the search finds it, you failed. For maximum safety on paper-bound documents, redact, print the page, and scan the printout back in: the scan is just an image, and there is no text layer left to leak. Hold the printed page up to a light to confirm nothing shows through.

What about the metadata hiding in the file?

PDFs carry properties most people never look at: author name, creation date, the software that made the file, sometimes the original filename and edit history. None of that is visible on the printed page, but it travels with the file wherever the file goes. Strip document properties before you send anything sensitive, or convert to a fresh PDF through printing. And watch the filename itself: "Qasim_Medical_Records_UNREDACTED.pdf" tells a story you didn't mean to tell.

What do agencies and courts expect?

When you send redacted documents to an agency, a court, or an opposing party, keep two versions: the unredacted original for your own records and the redacted copy you mail. Note what you withheld and why, especially in legal or benefits contexts where the other side can challenge a redaction. Redact narrowly: blacking out whole paragraphs when one account number was the problem invites suspicion and rejection. The goal is to protect the sensitive bits while leaving the document readable and credible.
