What does "nixie" mean in mail?

A nixie is mail that is undeliverable as addressed and cannot be forwarded or returned, usually because the address is missing, illegible, or wrong and there is no return address. The word is postal slang, from nix. Undeliverable mail with a usable return address goes back to the sender; a true nixie heads for the Mail Recovery Center.

How is a nixie different from a returned letter?

When a letter cannot be delivered but carries a readable return address, the post office sends it back to the sender, often with a sticker or stamp explaining why (no such number, insufficient address, refused, and so on). That returned piece is not a nixie: the system knew what to do with it.

A nixie is the piece the system cannot resolve. There is no forwarding order on file, the address cannot be read or does not exist, and there is no return address to send it back to. It is genuinely stuck. The sorting machines and clerks have tried every automated option, and nothing worked.

What happens at the Mail Recovery Center?

The Mail Recovery Center in Atlanta is the one facility in the United States that handles nixies, and it processes an enormous volume of them. Its staff open undeliverable mail and look for anything inside that identifies the sender or the intended recipient: a letterhead, an invoice, a signature block, anything. Yes, opening other people's mail is normally a crime, but this is the legal exception, and the whole point is reuniting mail with its owners.

When the center finds a usable address, it repackages the item and sends it on its way. When it cannot, valuable items are held for a period and then auctioned. The center used to be called the Dead Letter Office, a name that still survives in popular culture, but the modern operation is a working mail recovery facility, not a final resting place.

How do I keep my mail from becoming a nixie?

Three habits cover almost every case. First, always include a complete return address on the envelope: it is the single difference between a letter that comes back to you and a letter that becomes a nixie. Second, print addresses in block capitals with dark ink on a light background, because sorting machines read machine printing best, block capitals second, and cursive last. Third, put your return address inside the letter too, not just on the envelope: envelopes get torn and separated from their contents, and an inside address gives the recovery center something to work with.

One more practical note for senders of important mail: endorsements like Return Service Requested change what happens to an undeliverable piece, bringing it back to you with the new address or the reason it could not be delivered. For anything you cannot afford to lose into the system, that endorsement plus tracking is cheap insurance.
