How do I write a letter of congratulations?

A good congratulations letter names the exact achievement, says why it matters, and keeps praise specific rather than generic. Open with the news itself, add one concrete detail you admire, and close warmly. One page is plenty; sincerity beats length every time.

What should the letter actually say?

Follow a simple shape. First sentence: the congratulations, tied to the specific event ("Congratulations on your promotion to head nurse"). Second: one detail that proves you were paying attention, like the long shifts they worked or the project they led. Third: what the achievement means, for them or for the people they serve. Close with a warm line and, if you mean it, an offer to celebrate. That structure works for graduations, new jobs, weddings, new babies, awards, and retirements alike. The most common failure is vagueness: "Well done on your success" could be sent to anyone, and the recipient can tell. Swap in the person's name, the role, and one fact, and the same letter becomes personal.

OccasionSpecific praise that worksWhat to avoid
PromotionThe skill or effort that earned itGuessing at their new salary
GraduationThe field of study or a hard course passedAdvice about their whole career
New babyJoy for the family, rest for the parentsComments on the baby's looks or size
RetirementYears of work and what they builtJokes about old age
Wedding or engagementThe couple, by name, and a shared memoryRemarks about cost or the guest list

How is a congratulations letter different from a thank-you note?

The direction of attention differs. A thank-you note looks backward at something done for you; a congratulations letter looks forward at something the recipient achieved, and you had no part in it. That means you should not use a congratulations letter to ask for anything, mention your own similar achievement at length, or turn the praise into a story about yourself. One short line of shared feeling is fine ("Your news made my week"), but the spotlight stays on them. Tone also differs: thank-you notes can be brief and formal, while congratulations letters can be warmer and a touch longer, because celebration allows more feeling than gratitude alone. If you are writing to a colleague or client, keep it professional but still specific: mention the deal, the award, or the milestone by name.

When should I send it, and how formal should it be?

Send it promptly, within a week or two of hearing the news. A congratulations letter that arrives months late reads as an afterthought, and the recipient may wonder why you waited. For close friends and family, handwriting adds warmth; for business contacts, a typed letter on plain paper reads as professional and is easier to file. In the US, a standard letter fits a normal envelope and needs standard postage; in Canada, the same applies for domestic mail, with a higher rate for letters crossing into the US. If you are short on time, dictate the letter to your AI assistant and have it printed and mailed through LetterAgent to a US or Canadian address, with the price quoted up front and approved by you first. Speed matters more than stationery here: a prompt, specific letter beats a late, fancy one.

What if I barely know the person?

Keep it short and stick to the public facts. A two-paragraph note is perfect: congratulations on the named achievement, one line about why it is impressive, and a warm close. Do not invent personal details or claim a closeness you do not have; recipients spot that fast. For a business contact, sign with your full name, role, and company so they can place you. For a distant relative, one shared family detail is enough to show the letter is not a form note. And if the news came with a hardship attached, like a promotion after a hard year, acknowledge it briefly without dwelling on it: "After the year you have had, this is especially well earned" says a lot in one line.
