How do I write a complaint letter that gets answered?

A complaint letter gets answered when it reads like a file a manager can act on: your account details, what happened with dates, what you want fixed, and a deadline. Keep it to one page, send copies of receipts never originals, and escalate to the company's executive customer relations team if front-line support stalls.

Why does documenting beat emoting?

The person reading your letter did not cause your problem, and they handle dozens of complaints a day. Anger makes them defensive; a clean timeline makes their job easy. Write the facts in order, attach the proof, and state exactly what resolution would close the matter. "I am requesting a refund of the charge posted on March 3" gets routed to someone who can issue it. Three paragraphs about how furious you are gets filed.

One rule with no exceptions: send copies, never originals. Companies lose enclosures, and the original receipt or contract is your evidence if this ever goes further. If the document matters, keep the original in your own files and mail a photocopy.

Who should I actually send it to?

If regular customer service already failed you, do not write to them again. Most large companies have an executive customer relations team, sometimes called the Office of the President, that handles escalated complaints with real authority: credits, exceptions, and callbacks that front-line reps cannot offer. Their mailing addresses are usually findable through the company's investor-relations or corporate-contact pages.

For extra weight, note in the letter that you are copying the relevant regulator: your state attorney general's consumer division for most businesses, or the sector regulator for banks, insurers, and telecoms. You do not need to actually file the regulatory complaint yet; the CC line alone changes which queue your letter lands in. One thing to know: the Better Business Bureau is a private nonprofit, not a government agency, so a BBB complaint carries no legal force. It can still get a response because companies monitor their ratings, but it is not the same as a regulator.

What should I never put in a complaint letter?

Threats, insults, all-caps passages, and legal ultimatums you do not intend to follow through on. "I will sue" from someone who will not sue just teaches the reader to ignore you. Also skip the social-media threat: it reads as extortion-adjacent and makes companies route your letter to legal instead of customer relations, which slows everything down. Firm, specific, and polite is the combination that gets the refund.
