When a posting asks for a hard copy, mail your application as a crisp flat packet: cover letter and resume on plain white paper, pages unfolded in a rigid mailer, sent with tracking so you can confirm arrival. LetterAgent can print and mail a multi-page cover letter as one letter job, no printer or post office needed.
| Page | Purpose | Notes |
|---|---|---|
| Signed cover letter | Shows the application is tailored to this employer | One page; an unsigned cover letter reads as a mass mailing |
| Resume | The actual pitch | One to two pages, plain white paper, most recent role first |
| References sheet | Only if the posting asks for it | Use the same header as your resume so the set looks like one document |
| Leave out | Staples, colored paper, headshots, certificates | Extras distract; staples cause real problems (see below) |
Order the stack: cover letter on top, then resume, then references. Hold it together with a paper clip, not a staple. This is the detail most people miss: HR departments scan paper applications into their systems, and staples jam the feeder. A hiring manager who has to wrestle your pages apart is already annoyed before reading a word.
Use a flat rigid mailer. A tri-folded resume creases right across the text, and those creases scan badly and read worse. A 9x12 rigid mailer costs a bit more in postage than a standard envelope, but your pages arrive crisp, which is the whole point of sending a paper application in the first place. If you like, write "please do not bend" on the mailer; it is a request, not a service, but rigid mailers rarely bend anyway.
Print on plain white paper with a laser printer if you can: crisp black text on white reads as professional, and it scans cleanly. Inkjet printing works, but keep the pages dry and give them time to set so nothing smudges in the envelope.
Early. Unless the posting says otherwise, the deadline means arrival, not the postmark on the envelope. Give it several business days of cushion, and send it with tracking or certified mail so you can confirm it arrived instead of guessing. Keep an identical copy of everything you sent; if the employer calls with questions, you want to be looking at the same pages they are.
For the cover letter, yes. LetterAgent prints each page of a letter job on 8.5x11 paper, single-sided, exactly as you approve it, and mails it in a standard double-window business envelope. You describe the letter to your AI assistant, approve the exact quoted price, pay once, and it is printed and mailed. Two honest limits: LetterAgent letters go in a standard business envelope, so pages are folded to fit, and there are no inserts, so anything beyond the letter pages themselves, like separately printed certificates, has to travel another way. If the posting expects a flat presentation packet, a rigid mailer from the post office may suit better.
