How do I address a letter to a business?

Put the company name on the first line, then the street address or PO Box, then city, state, and ZIP on the last line. Add a department or attention line if the letter needs to reach a specific person or team. Always confirm the real mailing address on the company's contact page or in a state business registry before you send, because storefront addresses and headquarters often differ.

Which lines go where?

Use this order, top to bottom: the company name, the street address or PO Box, and the city, state, and ZIP on the last line. That bottom line is the one sorting equipment reads most carefully, so keep it clean and complete. If the letter needs to reach a specific person or department, add that line directly above the company name.

LineWhat goes thereExample
1 (optional)Department or attention lineAttn: Accounts Payable
2Full company nameAcme Widget Company
3Street address and suite, or PO Box100 Main Street, Suite 400
4City, state abbreviation, ZIPSpringfield, IL 62701

A few formatting details that genuinely help: write the company name exactly as it appears on the company's own site, not a nickname or abbreviation you made up. Suite and floor numbers go on the same line as the street address. Sorting equipment prefers block capitals, and a complete ZIP+4 speeds things further if you know it.

Should you use an Attn: line or a department line?

Use a department when you can. "Attn: Accounts Payable" reaches whoever holds that job today; "Attn: Maria Alvarez" stalls if Maria left six months ago. Name a person only when you have a real contact there, and keep the department line anyway as a backup. Put this line directly above the company name, never below the address.

Which address do you use: storefront, headquarters, or PO Box?

They are often different, so verify before you send. A company's contact page may list a flagship store that never opens mail; payments and legal correspondence often go to a headquarters or a PO Box in another state. For anything official, check the company's contact or legal page, or look the company up in its state's business registry, which lists a registered address. When in doubt, call and ask which address handles mail: it beats a returned letter.

One more rule: if an address shows both a street address and a PO Box, pick one. When both appear on an envelope, the post office delivers to whichever one sits directly above the city, state, and ZIP line.

What about the return address?

Put yours in the top-left corner. Business mail goes astray more often than you'd think, and without a return address an undeliverable letter is simply discarded. If you mail through LetterAgent, the double-window envelope handles this for you: your return address shows through the second window automatically.
