Often, yes. Many payroll departments accept forms by fax, especially for routine updates that do not need an original signature. Check with payroll first for the right fax number, since a general company fax line may route your form to the wrong desk. Send only the pages payroll asked for, and keep the confirmation page with your records.
Routine updates travel by fax most often: address changes, direct deposit updates at companies that still accept them on paper, tax withholding changes, and time-off or expense forms. Forms that carry bank account numbers deserve extra care, since a faxed bank page that lands on the wrong desk exposes account details. When a form includes bank numbers, confirm the exact fax number with payroll by phone, and ask who collects faxes at that number.
| Form type | Fax tip |
|---|---|
| Address change | Include your employee ID so it matches the right record |
| Withholding change | Double-check the number of allowances or extra withholding |
| Direct deposit update | Confirm the fax number by phone first; it carries bank details |
| Time or expense form | Attach only the receipts payroll asked for |
Payroll runs on a cutoff schedule, and a form that arrives after the cutoff waits until the next pay period. Ask payroll for the cutoff date before you fax, not after. A withholding change faxed the day before payday will almost never make that cheque. If the change is urgent, say so on the cover sheet and call to confirm someone picked it up. Cover sheets matter here: a bare form with no employee name or ID can sit unfiled while payroll tries to work out whose it is.
Fax lines are not encrypted, so a form with bank or Social Security details is only as safe as the receiving machine. That usually means a machine in a payroll office, not a shared machine in a hallway. If payroll offers a secure portal for the same form, use the portal for bank details and reserve fax for lower-risk pages. Either way, keep your own copy and the confirmation page, and check your next pay stub to confirm the change actually landed.
LetterAgent fax is available in testing for US and Canadian fax numbers, and it does not accept inbound faxes. You describe the fax to your AI assistant, get a per-fax quote with the page count verified, approve the exact total, and pay once through Stripe. Because the service is still in testing, check availability before you rely on it for a hard deadline, and keep your confirmation page either way.
Ready to fax it? Fax with LetterAgent: describe it to your AI assistant, approve the exact quoted price, and it is sent.
