Can I fax a signed lease renewal to my landlord?

Yes. A faxed lease renewal counts as delivered when your landlord's fax machine receives it, and the transmission report with the date and time stamps your proof. Sign before faxing, keep the signed original yourself, and confirm your lease allows fax delivery, since some landlords require hand delivery or email. Most do accept fax.

Why does the transmission report matter so much?

Renewal deadlines are unforgiving. Many leases give you a 30-day window, and a missed date can mean automatic conversion to month-to-month or a rent increase you could have avoided. The transmission report (also called a confirmation page) records the recipient's fax number, the date, the exact time, the number of pages sent, and a success code. If your landlord later claims they never received it, that report is your evidence.

One detail people miss: a report that says "OK" only confirms the receiving machine accepted the pages. It does not confirm a person read them. Save it anyway, and for an important renewal, follow up with a short call or text saying "I just faxed the renewal, please confirm you received it." That confirmation is a second layer of proof.

What should I keep as my own copy?

Keep three things: the signed original paper renewal, the transmission report, and a photocopy or scan of exactly what you sent. Do not shred your original. In most jurisdictions a signed paper original is the strongest form of the document; the faxed copy is what was delivered, but the original is what you can produce if the copy is ever disputed. Store it with the rest of your lease paperwork.

If you sign digitally and fax the printout, keep the digital file too. A signed original and a complete sending record together beat either one alone.

Should I sign before or after faxing?

Always sign first, then fax the signed pages. A fax of an unsigned renewal is just a draft. Initial any changes on the document before it goes through the machine, and make sure your initials and signature fall well inside the page margins. Fax machines routinely crop a few millimetres at the edges, and a half-cut signature can raise questions.

If the renewal has multiple pages, number them ("Page 1 of 3") so the recipient can confirm nothing went missing. The transmission report's page count should match your numbering.

Does my lease have to allow fax delivery?

Check the notice provisions in your lease. Many older leases say notices must be delivered by hand, by certified mail, or "in writing" without naming a method. Where the lease names an exclusive method, use that method. Where it simply requires written notice, fax qualifies in most cases because it produces a written document at the receiving end.

Property managers and larger landlords usually accept fax routinely; their office fax number is often printed right on the renewal form. If no fax number is listed, ask for one before the deadline rather than guessing.
