Yes. Fax the signed CPAP prescription to the supplier's order fax line, with the sleep study and any required supporting notes attached. Suppliers cannot ship a CPAP machine or bill insurance without a valid prescription on file, so a missing signature or missing sleep study is the usual cause of a stalled order.
CPAP suppliers are called DME suppliers, short for durable medical equipment, and they live under stricter paperwork rules than a normal retailer. A CPAP machine is a prescribed medical device, not an over-the-counter purchase, so the supplier must hold a valid order before it ships. Fax remains the default channel for that order because sleep clinics, doctors, and suppliers all still run fax lines, and a faxed prescription carries the prescriber's signature in a form every party accepts.
A usable CPAP prescription names the patient, the prescriber, and the device, and it is signed and dated. It should state the pressure setting or pressure range, whether the machine is a fixed-pressure CPAP, an auto-adjusting APAP, or a bilevel device, and whether a heated humidifier is included. Mask type is sometimes on the prescription and sometimes left to the supplier and patient to choose. If any of those fields are blank, the supplier will send the order back instead of guessing, because shipping the wrong pressure setting is a clinical error, not a paperwork quibble.
Check the date as well. Prescriptions can expire, and suppliers and insurers apply their own validity windows. An old prescription from a sleep study done years ago may need a fresh order from the prescriber, even if the patient has used a CPAP for years.
| Document | Why the supplier needs it |
|---|---|
| Signed CPAP prescription | Legal basis to dispense the device |
| Sleep study report | Proves the diagnosis and the pressure setting |
| Physician's supporting notes | Required by many insurers before they pay |
| Insurance details | Lets the supplier bill the plan instead of the patient |
| Patient contact details | Delivery address and setup scheduling |
The sleep study is the evidence behind the prescription. It records how often breathing stopped during sleep, oxygen levels, and the pressure that corrected the problem during titration. Insurers in the US routinely ask for it before approving a machine, and suppliers ask for it up front so the order is not rejected after shipping. Fax the condensed report, not necessarily the full overnight tracing, unless the supplier asks for the full study.
One practical trap: a sleep study done at a hospital or lab belongs to that facility, and the patient may need to request a copy before faxing it onward. Build that request into your timeline. The supplier cannot chase a study the patient has not released.
Get the supplier's order fax line, not its general office line, and confirm it by phone if the number came from a website. Put a cover page first with the patient's name, date of birth, the prescriber's name, and the total page count. Send the prescription, the sleep study overview, and the supporting notes in one transmission, and keep the confirmation page.
Then call the supplier and ask two questions: was the order received, and is anything still missing? Suppliers often hold orders quietly while waiting for one document, and a patient who calls finds out in a minute what a faxed pile of paper cannot say. Also ask whether the supplier needs a fresh prescription or a compliance download later: many insurers require proof that the machine is actually being used before they keep paying for supplies, and that follow-up is separate from the first order.
In Canada, CPAP supply runs through provincial plans, private insurers, and direct-pay vendors with their own paperwork, but the pattern is the same: a prescriber's order, a sleep study on file, and a supplier that will not ship without both. LetterAgent's fax service is currently available in testing for US and Canadian fax numbers. You describe the fax to your AI assistant, approve the exact quoted total, and pay once through Stripe. Fax is still in testing and activation is in progress, so do not count on it for a same-day shipment.
