Should I fax a document or use DocuSign?

Match the recipient's process, not the technology. DocuSign produces a tamper-evident signed document with an audit trail of who signed and when, which is stronger proof than a faxed image. But plenty of insurers, clinics, and government offices still route everything through a fax number, and no e-signature platform changes the number on their form.

What does DocuSign give you that a fax cannot?

Three things. First, identity: DocuSign ties the signature to an authenticated signer (email verification, access codes, sometimes ID checks), while a fax ties it to a phone line. Second, integrity: the signed document is sealed so any later change breaks the seal, while a faxed page can be re-scanned and altered with no trace. Third, the audit trail: DocuSign records when each person opened, signed, and completed the document, which is the piece lawyers actually ask for when a signature is disputed. A fax gives you a confirmation page showing it transmitted; that proves delivery, not authenticity.

There is a legal backdrop too. In the US, the ESIGN Act and state laws like UETA give electronic signatures the same legal standing as ink signatures for most transactions, and Canada's PIPEDA and provincial electronic-transactions laws do the same. A faxed signature, by contrast, rests on decades of accepted business practice rather than a clean statutory rule. For most routine paperwork the difference never matters, but when it does, the e-signature has the clearer legal footing.

So why does anyone still fax?

Because the recipient demands it. Healthcare is the classic case: clinics and insurers built their intake workflows around fax decades ago, and "fax it to this number" is baked into forms, training, and compliance procedures. Government agencies, courts with legacy filing rules, and many small businesses are the same. You can have the stronger technology and still lose to the intake form. Asking "do you accept e-signatures?" takes thirty seconds and occasionally opens the faster path, but when the answer is no, faxing is the job.

Can I combine them: sign digitally, then fax?

Yes, and it is the most practical hybrid. Sign the PDF with a drawn or typed signature on your phone or computer, then fax the signed file to the recipient's fax number. The recipient gets what their process expects (a faxed signature on the document), and you keep a clean digital copy with your signature on it. You skip the printer and scanner entirely.
