Can I use my fax machine as a scanner?

Yes, if your fax machine is an all-in-one that also scans. Scan-to-PC, scan-to-email, and scan-to-USB are standard on modern all-in-ones from Canon and Brother: the scanner captures the page and saves or sends it as a file, with no phone line or fax number involved.

DestinationWhat it doesWhat you need
Scan to computerSaves the scan on a connected PC, usually as PDF or JPEGUSB or network connection and the maker's scan software installed
Scan to USBSaves the file straight onto a flash driveA USB port on the machine and no computer at all
Scan to emailThe machine emails the scan as an attachmentEmail or network setup on the machine (business models mainly)
Scan to file / network folderDrops the scan into a shared folder or FTP serverNetwork setup with the destination folder configured

How do I actually run a scan?

On a Canon imageCLASS, you tap Scan on the home screen and pick a destination: Computer, USB Memory, E-Mail, or File. Pick Computer, choose the destination PC from the list, set color or black and white and PDF or JPEG, and press Start. Canon's manuals walk this exact sequence, and the same pattern holds across brands.

On a Brother all-in-one, the panel has a dedicated SCAN key. Press it, choose Scan to PC, then pick Image (which opens the scan in your default graphics program) or a direct file destination. Brother's ControlCenter software on the computer handles the receiving side, and the machine asks for a PIN if the destination PC is locked down. The point in both cases: the phone line stays out of it. This is scanning, not faxing.

What file formats can I get?

Better ones than you might expect. Business-grade Brother models can scan black-and-white documents to PDF, PDF/A, secure PDF, signed PDF, or TIFF, and color scans to PDF, JPEG, or XPS. That is a proper document-management menu, not the single blurry format people associate with faxes. Scan-to-USB on Canon models gives you the same PDF and JPEG choices with no computer involved, which is handy for digitizing a stack of paper when the PC is in another room.

Can a fax-only machine do any of this?

Mostly no. A single-function fax machine has a scanner, but its only output path is the phone line. It cannot save a file. There is one partial exception: some fax machines can forward received faxes to an email address as TIFF or PDF attachments. That turns the incoming fax into a file, but it is really the email doing the work, and it covers faxes you receive, not documents you want to scan yourself.

If your machine is old enough to be fax-only, the cheapest scanner upgrade is probably already in your pocket. A phone photo of the document, taken flat in good light, often beats a fax-resolution scan. But if the machine says all-in-one on the box, use the Scan key: it was built for exactly this.

What is the catch compared to a dedicated scanner?

Two limits. First, resolution: all-in-one scanners are tuned for document faxing, not photo archiving, so a flatbed designed for prints will outperform them on detail. Second, the automatic feeder on many models only handles letter-size paper one side at a time; bound books and thick originals go on the glass one page at a time, just like a standalone flatbed. For office documents, though, the scan you get from a modern all-in-one is perfectly usable, and it costs nothing extra since the hardware is already on your desk.
