Home > Guides > Fax confirmation sent to email
With an online fax service, yes: most send a delivery receipt to your email automatically after every fax, usually showing the recipient's fax number, the number of pages, and the date and time of transmission. With a physical fax machine, the confirmation prints on paper at the machine itself; the machine has no email to send it to. The two systems produce the same record in different places.
A typical emailed confirmation includes the destination fax number, a timestamp, the page count, and a success or failure status. If the transmission failed, it usually names the reason: busy signal, no answer, line disconnected, or incompatible receiving equipment. Some services attach a thumbnail or copy of the first page so you can verify the right document went to the right number.
Keep these emails the same way you would keep a paper report. For anything with a deadline (court filings, insurance responses, payroll paperwork), the emailed confirmation is your proof of sending: it is timestamped by the service rather than by your machine, and you can forward it to anyone who needs the record.
Physical fax machines print confirmation reports, but those reports live in the output tray. In a shared office, someone picks up the stack and the confirmation walks away. Machine memory is also finite: once the log fills up, old entries roll off. An emailed confirmation lands in your inbox, gets backed up with your email, and is searchable months later. That permanence is the real upgrade, not convenience.
The other difference is failure handling. A machine prints "failed" and you notice it when you walk past. An online service can email you the failure immediately, so you know to retry while there is still time. When the receiving party says "we never got it," your email thread settles it.
| Confirmation detail | Online fax service (email) | Physical fax machine (paper) |
|---|---|---|
| Where it goes | Your inbox, automatically | Output tray at the machine |
| Failure alerts | Emailed right away | Printed; you notice it when you notice it |
| Long-term record | Searchable in your email | Paper report you have to file yourself |
| Forwarding | Forward the email in one click | Scan or photocopy the report first |
If you send through an assistant-connected service like LetterAgent, you do not even need the email: you can ask your AI assistant to check the job's status any time, and it reports whether the fax went through. LetterAgent's fax service is in testing (activation in progress), so confirm availability before sending something time-sensitive. Faxes go to US and Canadian numbers only.
