What is a commercial mail forwarding service?

A commercial mail forwarding service, also called a commercial mail receiving agency, gives you a street address where your letters are received, then forwards them to you or scans them for online viewing. Travelers, remote workers, and small businesses use them for a stable mailing address. Setting one up requires a signed, notarized postal form and photo ID.

The idea is simple: instead of your mail going to a home you may leave for months, it goes to a business address that stays put. The service collects it, and depending on the plan, bundles and forwards the physical pieces to wherever you are, scans the envelopes or contents so you can read them online, or holds them for pickup. Full-time RVers, expatriates, digital nomads, and home-based businesses are the typical customers, because all of them need an address that does not change when they move.

How is it different from a PO box?

A PO box gives you a box at a post office, and you collect the mail yourself. A commercial forwarding service gives you a street address, usually with a suite or unit number, and handles the mail on your behalf. That street address matters more than it sounds. Some banks, government agencies, and business registries reject PO box addresses on forms, while a street address passes. The trade-off is privacy and control: with a forwarding service, someone else opens or scans your mail if you choose the scanning option, which is a level of access a PO box never involves.

The other difference is what happens when you are away. A PO box fills up and mail sits until you return. A forwarding service keeps working while you travel, sending bundles on a schedule you set or alerting you to new arrivals by scan. For someone out of the country for months, that difference is the whole point.

What is Form 1583?

In the US, anyone using a commercial mail receiving agency must file USPS Form 1583, an application for delivery of mail through an agent. The form authorizes the agency to receive mail in your name, and it requires two forms of identification, one with a photo. The signature on the form must be notarized, which means signing it in front of a notary rather than mailing in a pre-signed copy. The agency keeps the form on file and must produce it if the postal service asks.

This paperwork is also a fraud control. Because a forwarding address can be used to hide a real location, the postal service wants a verified identity behind every commercial mailbox. Agencies that skip Form 1583 risk losing their authorization to receive mail, and customers who refuse to complete it simply cannot open the box. Minors and businesses have their own versions of the same requirement, with a parent, guardian, or authorized officer signing.

Is a forwarding address a legal address?

Not always, and this is where people get caught out. A commercial mailbox address works fine as a mailing address for most correspondence, bills, and business mail. But it generally does not count as a residential address for voter registration, a driver's licence, or tax residency, and some states restrict using it as a registered business address. If you need an address for a legal purpose, check the specific agency's rules before relying on the forwarding address. A mailing address and a legal domicile are different things, and no forwarding service can turn one into the other.

How does this differ from parcel forwarding?

Parcel forwarding services exist for packages, especially for shoppers buying from stores that do not ship internationally. Those services receive a parcel, sometimes repackage it, and ship it onward across a border. Letter-focused forwarding services handle envelopes and documents, with scanning and mail management as the core product. The two overlap when a forwarding service also accepts packages, but the paperwork, pricing, and customs handling are different businesses. If your main need is online shopping parcels, a parcel forwarder fits better; if your main need is letters, bills, and documents while you travel, a mail forwarding service does.

Can I mail a letter to a forwarding address with LetterAgent?

Yes. A forwarding address is a normal US or Canadian street address as far as delivery goes, so a LetterAgent letter addressed to it is delivered to the service like any other letter. Describe the letter to your AI assistant, approve the quoted price, and it is printed and mailed. One thing to confirm first: if the recipient uses a scanning plan, make sure the letter itself, not just the envelope, is what they need, since scanning services vary in whether they open and scan contents or only the outside of the envelope.
