Can I fax a marriage certificate?

Yes, but a faxed copy only goes so far. It works fine as a preview for banks, employers, or insurers updating your records after a name change. For the Social Security Administration and most government offices, only the original or a certified copy with a raised seal counts, and no fax can deliver a seal.

When is a faxed marriage certificate good enough?

Plenty of everyday situations accept a copy: your employer's HR department updating payroll records, a bank changing the name on your accounts, an insurer updating a beneficiary form, or a travel agency confirming documents ahead of a trip. In all of these, the recipient wants to see the details, not to certify the paper itself. A clear fax or scanned copy does the job, and it is often faster than waiting for the mail.

It also works well as a placeholder. Many offices will start your paperwork from a faxed copy while the certified original travels by mail, so calling ahead and asking "can I fax it now and mail the original this week?" is worth the phone call.

RecipientFaxed copy accepted?Why
Employer HR / payrollUsually yesThey need the details for records, not a certified document
Bank or insurerOften, as a previewThey confirm from the copy and may ask for the original later
Social Security AdministrationNoRequires the original or a certified copy with the issuing seal
Passport office, DMV, courtsNoSame rule: the seal is the proof, and a fax cannot carry one

Why does Social Security insist on the original?

The SSA's own procedures spell this out: name-change evidence has to be the original marriage record, a marriage certificate, or a certified copy of the marriage record, and photocopies are not accepted. The raised seal or stamp from the vital records office is what proves the document is genuine, and that seal is a physical feature of the paper. A fax flattens everything into black and white pixels, so the seal arrives as an unreadable smudge that proves nothing.

This is also why the pretty certificate from your officiant, the one with calligraphy and a gold border, usually does not qualify. The SSA accepts a state-issued certificate or a certified copy from the county or state vital records office. If all you have is the keepsake version, order a certified copy from the vital records office where the marriage was recorded before you start the name-change process.

What should I avoid when faxing it?

A marriage certificate carries exactly the kind of details identity thieves want: full names, dates of birth, parents' names, and the county of record. Fax only to a number you have confirmed with the recipient, and include a cover sheet marked confidential so a shared office machine does not leave your document sitting in a public tray. If the recipient offers a secure upload portal instead, use it: a portal beats a fax on privacy every time.

Also double-check which copy you are faxing. Faxing the keepsake certificate instead of the certified one is a common mix-up that costs people a round trip: the recipient reviews the fax, spots that it is not the certified version, and asks you to start over. One extra minute checking the seal before you dial saves a week of back-and-forth.

How do I fax it without owning a fax machine?

You describe what you need to your AI assistant, the assistant quotes the fax with the page count verified, you approve the exact total, and you pay once through Stripe. Then it is sent. Faxing to US and Canadian numbers is supported, and the service is currently in testing, so describe your faxing as in progress rather than promised the same minute.
