Can I cancel my gym membership by fax?

Yes, a fax often works for cancelling a gym membership, because most gyms accept written notice and a fax gives you a timestamped confirmation page. Check your contract first: some gyms demand a specific form, an in-person visit, or a certified letter. Keep the confirmation page and your contract, since that paper trail is what settles disputes about when you cancelled.

What does your contract actually require?

Read the cancellation clause before you send anything. Many gym contracts say notice must be in writing, and a fax counts as written notice in most cases. Some contracts name a single accepted channel, such as an in-person form or a letter to a specific address. If the contract names one channel, use that channel, and send the fax as a backup only. A backup fax still helps: it shows you tried to cancel on a specific date, even if the gym insists on its own form.

Watch for the notice period. A contract that demands 30 days of notice keeps billing you through that window even after a clean cancellation. The cancellation date on your fax confirmation page starts that clock in your records. If the gym keeps charging past the notice period, that confirmation page is the first document your bank or card issuer will ask for in a dispute.

What to includeWhy it matters
Full name, membership number, and gym locationLets staff find the right account without a phone call back
A clear sentence: "I am cancelling my membership effective today"Removes any argument that you only asked about cancelling
Request for written confirmation and a final billing dateGives you a second record beyond the fax confirmation page
Your phone number and emailGives the gym a way to confirm without delaying the cancellation

Do state rules change anything?

Yes, in some US states. Several states cap cancellation hassles for health clubs: they require gyms to accept written cancellation, limit how long a contract can lock you in, or require a cancellation option that does not force an in-person visit. California, for example, has long required health studios to let members cancel by mail, and some states have extended similar logic to electronic and faxed notice. The rules vary by state and by contract date, so check your state consumer protection office if a gym refuses a written cancellation outright.

In Canada, consumer protection is provincial. Ontario and Quebec both have cooling-off and cancellation rules for certain consumer contracts, but gym memberships sit in a grey zone that depends on how the contract was sold and what it says. A fax still works as proof of notice, but the contract terms usually decide the outcome. When in doubt, send the fax and follow up in writing by a second channel.

How do I keep proof that it worked?

Keep three things: the fax confirmation page showing the number dialed, the page count, and the time; a copy of exactly what you faxed; and any reply from the gym. Store the confirmation page as a photo or scan, not just as a paper printout that fades. Fax confirmation pages prove transmission, not that a person read the document, so ask for a written reply confirming the cancellation and the last billing date.

If charges continue, dispute them with the confirmation page in hand. Contact the gym first, in writing, citing the fax date. If that fails, your card issuer or bank can open a dispute, and a state or provincial consumer office can advise on next steps. Note that LetterAgent fax is in testing, so do not treat a fax sent this way as a guaranteed same-day delivery: confirm with the gym that it arrived.
